How to Schedule Accessibility Vendors

It is the responsibility of the event organizer to schedule accessibility vendors and pay for the costs of accommodations. Below is a short list to start your vendor search:

The following list does not imply a particular relationship between the vendors and UCSF; however, some may be active on our vendor listings via Supply Chain Management. Pricing and procedures are estimated and may vary.

American Sign Language (ASL) interpretation

Requests for sign language interpreters can be made by contacting an interpreter referral agency. Each UCSF department must set up their own customer account in order to book an interpreter. Please contact the interpreter agency to find out more about setting up a customer account, billing information, and interpreter requests. Be sure to have all relevant event information on hand when submitting the interpreter request:

Information needed when making a request for a service:

  • Date
  • Time
  • Location address 
  • Virtual platform and link information (for virtual remote)
  • Phone number
  • Description of the request
  • Billing information (Tip: Set-up a PO for your department with the agency)

Typically, interpreters are paid a two-hour minimum per interpreter. For situations that are one and a half hours or longer, two interpreters are typically needed. For large special events, two interpreters might be necessary.

In-person and Remote Fees as of 2023 (fees are subject to change):

  • $116.50/hour 7am to 5pm (2 hour minimum) per interpreter
  • $122.50/hour 5pm to 12am (2 hour minimum) per interpreter
  • $140.50/hour 12am to 7am (2 hour minimum) per interpreter
  • Per Mile Reimbursement (at current rate set by the IRS) per interpreter
  • Parking, Tolls, and Public Transportation Fees, if any, per interpreter
  • After 2 hours billing is in 30-minute increments per interpreter
  • Weekends and Holidays additional $10/hour per interpreter
  • Tri-Lingual/Certified Deaf Interpreter (CDI)/ Deaf-Blind/Cued Speech add $30/hour per interpreter
  • $100 Conference Coordination Fee (only if applicable)

In-person and Remote Fees as of 2023 (fees are subject to change):

  • Weekday 8 am-5 pm is $135 an hour (more than 1.5 hours needs 2 interpreters).
  • Weekday nights (5 pm-8 am) and weekend days 8 am-5 pm are $145 an hour.
  • Weekend nights (5 pm-8 am) and holidays are $155 an hour.
  • ASL interpreter over Zoom from BACA is $1.50 a minute with a minimum of 15 minutes. 
  • For in-person ASL interpreters, remember to consider the added cost of mileage for the ASL interpreter (calculated at .65 cents per mile round-trip).
  • Depending on the length of the event, two sign language interpreters will typically be required.
